Faster invoice coding in DropScan

  • The nominal code and tax code pickers on invoice lines are now searchable — type to filter by either the code or its description, so coding a long invoice no longer means scrolling the full list
  • Each code now shows its description alongside the code, and tax codes show their default and reverse charge flags in the picker
  • The invoice line-item table has been streamlined so every line can be coded and checked in place: the nominal and tax code pickers sit on each line, VAT and Gross appear as columns after Net, and the per-line expand panel has been removed
  • Where a line differs from its purchase order, hovering over the variance indicator now explains the quantity or unit price difference for that line

RAMS must be signed before a timesheet entry

  • New Feature: Purchase lines and purchase invoice lines now have a Discount column — the line total becomes quantity × price less the discount, with VAT calculated on the discounted amount, carried through the editors, the Buy Materials wizard, the PO PDF, the job's Financial Details tab, the purchase export, and into Xero and QuickBooks
  • New Feature: DropScan now reads per-line discounts from your supplier's invoice — even where the discount column has no heading — and approving brings both price and discount back onto the purchase order line
  • DropScan pack prices: where a supplier prices in packs, DropScan now works out the single-item price so line totals are correct, showing the printed pack price beneath it (e.g. '£1.89 per 10') — the column is now titled 'Price each'
  • When a customer and supplier are linked, edits to either now update both records in QuickBooks
  • QuickBooks requires unique names, so linked pairs get a '(Customer)' or '(Supplier)' suffix in QuickBooks only — the suffixes no longer appear inside PaperDrop
  • When linking a new customer to an approved supplier (or vice versa), the wizard now offers to approve the new record straight away so its QuickBooks record is created at the same time

Annual leave now counts towards standard hours — a timesheet accuracy overhaul

  • Annual leave now counts towards weekly standard hours for hourly-paid staff — approved leave anywhere in the week reserves standard-hours capacity, so hours worked beyond the threshold move into the correct overtime bands, whether the leave falls before or after the days worked; leave itself is always paid at standard rate
  • Timesheet weeks now recalculate automatically when annual leave changes — booking, approving, cancelling or deleting leave (including preset holidays and start-date changes) updates the affected weeks immediately
  • New per-division setting: send holiday to payroll as days at a day rate or hours at an hourly rate, whichever your payroll system expects
  • 'Total Std Rate Hrs' now includes annual leave hours for hourly schemes, day columns show leave alongside worked time, and Calculate Wages shows holiday hours as well as days — e.g. '2 (16h)'
  • The Timesheet Details export now prices holiday in hours (quantity × hourly rate = total), half-day holidays export accurately (two half-days no longer export as two full days), and only approved leave counts towards hours and pay
  • Weeks spanning a payment scheme change now calculate overtime bands correctly, and recalculating a week always produces the same result however the week was entered
  • A batch of lunch-deduction corrections: days made up of several shorter entries, staff paid at Rate One, days outside a scheme's time windows, edited entries, and entries at the standard-hours boundary all now deduct lunch correctly — standard hours reach the full threshold before overtime starts, and bands fill to exactly their configured size
  • Recalculating a week now clears out any hours that no longer belong in an overtime band, so band totals always add up to the hours actually worked

DropScan works out missing due dates

DropScan matches invoice lines far more often

  • DropScan lines now match by product code even when the supplier writes the code differently from your purchase order (e.g. AC777600 vs ACEL777600), when the code only appears within the description text, or when the scan misread a character (such as the letter O for a zero)
  • Lines can also match by unit price when the price identifies exactly one purchase order line — including partial deliveries where the invoiced quantity is less than ordered; price-based matches always show as 'Suggested' for you to confirm
  • No action needed: pending invoices are re-evaluated automatically the next time they're opened — nothing needs re-scanning or re-matching
  • Under-the-hood maintenance of the automatic stock generation service

Zoom and rotate in the document viewer, plus fairer holiday pro-rata

  • Removing a role takes effect as soon as the user logs out and back in — or within about 10 minutes otherwise
  • New Feature: Job Sheet Types — define types such as Site Survey or Site Measure in Settings → Job → Job Sheet Type, choose the type when creating a Job Sheet, and it's saved into that type's folder

DropScan price syncing and a better document viewer

  • New Feature: When you approve a scanned supplier invoice, DropScan now brings your prices into line — matching purchase order line prices are updated to the invoiced prices and the purchase order totals recalculated
  • On stock purchases (lines linked to a catalogue material), the price of each linked material in your materials catalogue is also updated to match the invoice; on non-stock purchases only the purchase order prices are updated
  • Before you approve, the review screen clearly lists every purchase order and material price that will change, with the before and after value for each, so there are no surprises
  • New Feature: Images can now be rotated in the viewer
  • New Feature: When viewing an image or PDF, you can now move next/previous through the other files in the same folder directly from the viewer
  • The full site address is now shown when viewing or searching a customer site on the Job Details page, without repeating parts already in the site name
